Once they show interest in meeting, lead the scheduling.
Do not immediately ask:
What's your availability?
Give them an easy next step instead.
First Ask
Would it be crazy to loop up for 15 minutes tomorrow afternoon?
If tomorrow afternoon works
Ask:
Perfect. Earlier or later in the afternoon work better?
Then offer a specific time based on their answer:
How about 3:30 PM ET?
Once they confirm:
Perfect. What's the best email for the invite?
After they provide it:
Got it. I'll send it over now.
Send the calendar invitation immediately.
If they give a specific time
Example:
I'm free around 2.
Reply:
2:00 PM ET works. What's the best email for the invite?
Send the invitation immediately after receiving their email.
If tomorrow afternoon doesn't work
Reply:
No problem. What does the next couple days look like?
If they give broad availability, turn it into a specific option.
Example:
Wednesday morning is pretty open.
Reply:
How about Wednesday at 10:30 AM ET?
Once confirmed:
Perfect. What's the best email for the invite?
If they ask for your availability
Give 2–3 specific options rather than an open calendar.
I can do tomorrow at 1:30, 3:00, or 4:30 PM ET. Any of those work?
Once they select one:
Perfect. What's the best email for the invite?
If they prefer a scheduling link
Send the scheduling link.
Do not force manual scheduling when they've explicitly asked for the link.
The Coffee Chat Is Booked When
- A specific date is agreed upon.
- A specific time and time zone are agreed upon.
- You have their email.
- The calendar invitation has been sent.
"Yeah, I'd be interested in talking" is not a booked meeting.
Once they agree to meet, stop selling and stop doing discovery.
The only job left is:
Tomorrow → earlier/later → exact time → email → calendar invite.
